How Many Photographers Do You Need for a Corporate Event?
Planning a corporate event or conference and wondering how many photographers you actually need?
The answer depends on the event and its style. A conference with 500 attendees could need only one photographer, while an event with 100 attendees might need three.
It really comes down to what's happening, where it's happening and what you want photographed.
1. How many things are happening at the same time?
This is probably the biggest consideration.
If your event takes place in one ballroom, with speakers presenting one after another, a single experienced photographer may be all you need.
But what happens when you have a keynote presentation in one room, three breakout sessions upstairs and a networking reception starting down the hall?
One photographer can't be everywhere at once.
Look at your event schedule and identify activities that overlap. This is often the easiest way to determine whether additional photographers are necessary.
2. How large is your venue?
A large venue doesn't automatically mean you need more photographers, but distance matters.
If your photographer needs ten minutes to get from one presentation to another, that's ten minutes they're not photographing anything.
Multiple floors, separate buildings and large convention centres can make it difficult for one photographer to cover everything effectively.
3. What photographs are most important to you?
Not every event needs every moment documented.
Consider what you'll actually use afterward. Are keynote speakers your priority? Do you need photographs of every breakout session? What about exhibitors, sponsors, networking, awards and candid interactions?
If you need extensive coverage of several activities, additional photographers may be worthwhile.
If you only need a strong collection of highlights, one photographer may be perfectly capable of delivering that.
4. How quickly do you need your photographs?
Need images for social media while your conference is still happening?
That changes the planning.
An on-site editor can process and deliver selected photographs while your photographer continues working. For some events, a photographer-editor combination may be more valuable than hiring a second photographer.
It's worth discussing delivery requirements before deciding on staffing.
So, how many photographers should you book?
There's no magic formula based on attendance.
At Infinite Eye Photography, we review your event schedule, venue layout, photography priorities and delivery requirements before recommending the right coverage.
Sometimes that's one photographer. Sometimes it's a coordinated team of photographers and an on-site editor.
Our goal isn't to put as many photographers at your event as possible. It's to make sure the important moments are captured without unnecessary expense.
